Why most cold email starts on Google

Mail sent from Google lands more reliably when the person receiving it is also on Google, and for most business lists that is somewhere between half and two thirds of the names. That is the whole reason Google is the default rather than anything about the platform being better.

It is the wrong default in one case: a list concentrated in large enterprises, finance or government, where Microsoft dominates. Check your list before you buy, because buying the wrong platform is the most expensive mistake available at this point and it takes a few minutes to avoid. The platform comparison covers the split.

What Gmail actually checks

Three things you can control. Authentication — whether SPF, DKIM and DMARC line up, which is pass or fail and the easiest to get wrong silently. Domain history — how long the domain has existed and what it has sent, which is the part you cannot accelerate and the reason the 30 days exists. Recipient behaviour — whether people open, reply, delete or complain, which is your list and your copy rather than your infrastructure.

The one thing Gmail will not give you is a reason. When a message goes to spam, nothing in it tells you why. You are reading reply rates and guessing. That is a real argument for putting some of your volume on Microsoft, which does tell you.

The shape that works

Three inboxes per domain, 15 cold emails per inbox per day. That is 45 a day from each domain, which looks like three people doing their jobs rather than a machine. More inboxes on fewer domains is cheaper and concentrates the damage: when a domain stops landing, everything on it goes at once.

Size it before you buy. At 1,000 sends a day you need about 80 inboxes across 27 domains once you hold back a fifth for replacements — which is more than most people expect, and the reason campaigns quietly run under target.

Prewarmed or fresh

The same Workspace mailbox is sold both ways. Prewarmed has had the 51 days spent on it and comes with the domain; fresh has not and does not. The gap between the prices is roughly what that work costs.

Fresh is the better buy when your start date is more than two months out and you already run warming. It is the wrong buy the moment a date is fixed and close, because there is no way to shorten the wait that does not also cost you the domain. Before you buy from anyone

Ask how many days the domain was registered before its first send, how many days it sent real mail before handover, and what the replacement terms are in writing. Those answers separate a real product from a repackaged one. The full version is in the buyer's guide.

Are prewarmed Google inboxes real Workspace accounts?

They should be licensed Google Workspace accounts on a domain that has been aged and warmed. If a seller cannot confirm that, you are being offered a relay or a shared seat, which is a different product.

How many cold emails a day per Google inbox?

We run 15, with three inboxes to a domain. Google publishes a much higher daily cap, but that number is where they stop you, not advice on what is safe.

Should I use Google or Microsoft?

Whichever matches your list. Most business lists are Google-weighted, which makes Google the default. A list concentrated in large enterprises, finance or government usually is not.

Will Google suspend accounts used for cold email?

It can, and every provider deals with it. Get the replacement terms in writing before you order rather than after the first suspension.

Can I put more than three inboxes on a domain?

Yes, and it is cheaper per inbox. It also means losing more at once when the domain goes. Three is the number that keeps a failure small.
